System 04

Every opportunity in one place, ordered by priority

Lead capture, qualification and routing

Contacts arrive through different channels with very different levels of intent. Treating them all the same means the good ones wait while the ones who will never buy consume your team's time.

An industrial core receiving signals through several inlets, processing them internally, and releasing opportunities already sorted by priority.

The problem

Volume is not the problem. Disorder is.

  • Contacts are spread across email, WhatsApp, spreadsheets and notes.
  • There is no quick way to know which deserve a call today.
  • The same contact enters twice and two people work it.
  • Nobody knows which campaign or page each opportunity came from.
  • Contacts who will not buy now get lost instead of being kept for later.

What NOVIQ installs

One entry point, one record per contact, and an explicit priority rule.

  • Multichannel capture

Forms, WhatsApp, email, campaigns and calls all enter the same record.

  • Forms that ask only what is needed

Minimum fields so you do not lose the contact, with qualifying questions spread through the conversation that follows.

  • Deduplication

If the contact already exists, their record is enriched rather than duplicated.

  • Qualification and priority

Scored against the criteria your business considers relevant: fit, timescale, area and level of intent.

  • Commercial routing

Each opportunity reaches the right person or department, following rules you define.

  • Source traceability

Where each contact came from is stored, so you can see which channel produces real opportunities.

How it works

The commercial criteria are agreed before a single rule is written.

  1. Define the criteria

What makes a contact a priority in your specific business.

  2. Design the intake

What gets asked, where, and at what moment.

  3. Routing rules

Who handles what, by area, service, language or workload.

  4. Connect the CRM

Automatic registration, with the conversation history attached.

  5. Review

Criteria are tuned against the data from the first weeks.

Sources it centralises

Any point an opportunity reaches you through today.

  • Website forms
  • WhatsApp
  • Email
  • Advertising campaigns
  • Inbound calls
  • Sector portals and marketplaces
  • Referrals and manually added contacts

From contact to opportunity

What happens between someone writing and someone on your team calling.

  1. Signal arrives

A contact comes in through any connected channel.

  2. Checked

Validated, and matched against existing records.

  3. Qualified

The information needed to decide is completed.

  4. Classified

New, qualified, urgent, long-term follow-up or reactivation.

  5. Prioritised

Moves up or down the list against the agreed criteria.

  6. Assigned

Reaches the right person with the full context.

  7. Notified

The owner is alerted, and reminded if it goes untouched.

Use cases

Where order changes the outcome.

  • Real estate

Separating genuine intent from curiosity, and splitting by area and property type.

  • Clinics

Distinguishing first consultations from follow-ups and assigning by speciality.

  • Renovation

Prioritising by job type and timescale before sending a team to visit.

  • B2B

Detecting company size and fit before spending sales time.

  • Automotive

Telling interest in a specific vehicle apart from a general enquiry.

  • Education

Grouping by programme and intake so each group is worked separately.

Working with your team

The system orders and proposes. Who to call and what to offer is still your sales team's decision.

  • The priority criteria are yours, and can be changed.
  • Any opportunity can be reassigned manually.
  • The score is visible and explainable, not a black box.
  • Nothing is discarded automatically: what does not fit now moves to reactivation.

Data, permissions and compliance

Working with contact data means doing it properly from the start.

  • Lawful basis and consent captured at the point of collection.
  • Profile-based access: each person sees what is theirs.
  • Source and date recorded for every data point.
  • GDPR-compliant opt-out and erasure procedure.
  • No purchased or third-party enrichment data without a lawful basis.

Frequently asked questions

  • What exactly is a lead score?

A number calculated from criteria you define: fit with your service, timescale, area and signals of intent. It is not a magic prediction — it is your commercial judgement written down so the system can apply it consistently.

  • Is it worth it if we only get a few contacts a month?

Yes, though the value shifts. At low volume the point is not prioritising but losing none of them and following up consistently.

  • Can we still add contacts manually?

Yes. Manual contacts enter the same system and follow the same rules.

  • What about the old contacts we already have?

They can be imported and classified against the same criteria, which usually surfaces forgotten opportunities.

Do you know your best opportunity this week?

If answering that means checking three different places, there is a system to build.
