System 01

One assistant covering every channel, at any hour

Omnichannel AI assistants

Enquiries arrive by WhatsApp, by email, through the website form and via social. The assistant receives them all in one place, answers using your real business information, and prepares the conversation so your team steps in where it adds value.

A titanium communications handset with a smoked-glass screen. On the screen, incoming conversations and answers are represented abstractly.

The problem

Most opportunities are not lost on price. They are lost on response time, and on enquiries nobody ever answers.

  • Enquiries arrive outside office hours, at weekends and on holidays.
  • Every channel is handled separately, so nobody holds the full conversation.
  • The same questions are answered dozens of times a week.
  • While the team is busy answering, it has stopped selling.
  • There is no record of what was answered or what was promised.

What NOVIQ installs

An assistant trained on your real documentation, connected to your channels, with explicit rules about what it may and may not say.

  • A single point of contact

WhatsApp, email, forms and web chat enter the same system. One conversation per contact, not one per channel.

  • Answers grounded in your information

The assistant works from your services, terms, coverage areas, hours and documentation. It does not improvise on what it does not know.

  • Qualification during the conversation

It collects what your team needs before a call: what they want, by when, in which area, and roughly what budget.

  • Booking and follow-up

It offers real slots from your calendar, confirms the appointment, and picks the conversation back up if the contact goes quiet.

  • Human handover

When an enquiry falls outside its scope — or the contact asks — it hands the conversation to the right person with the context already summarised.

How it works

Four phases, no surprises.

  1. Information gathering

We collect your documentation, your genuine frequently-asked questions, and the conversations you already have with clients.

  2. Configuration and limits

We define what the assistant answers, what it escalates, and what it never says. Limits are written down, not assumed.

  3. Channel connection

We connect WhatsApp, email, your website form and the CRM where every contact is recorded.

  4. Testing and tuning

We test it against real conversations before it goes public, and keep tuning it on what happens in production.

Channels it covers

All of them enter the same system and share the same history.

  • WhatsApp Business
  • Email
  • Website forms
  • Website chat
  • Messages from advertising campaigns
  • Calls (through the voice system)

A real example

An enquiry arriving at 23:40 on a Saturday.

  1. The message arrives

A contact writes on WhatsApp asking about a service and a timescale.

  2. Immediate reply

The assistant answers with the specific information for that service.

  3. Qualification

It asks what is needed: area, timescale and type of project.

  4. Recorded

The contact is created in the CRM with the whole conversation attached.

  5. Appointment offered

It offers real slots from the sales calendar for Monday.

  6. Team notified

The right salesperson receives the record with the summary already written.

  7. Follow-up

If the contact does not confirm, the assistant picks the conversation up the next day.

Use cases

The same system, adapted to each sector's vocabulary and rules.

  • Real estate

Handles property enquiries, filters by area and budget, and books viewings.

  • Clinics

Answers questions on treatments and availability, and manages appointments and reminders.

  • Professional firms

Captures the reason for the enquiry and routes it to the right practice area before the first call.

  • Construction and renovation

Collects job type, location and timescales so quotes are prepared with real data.

  • Automotive

Handles interest in specific vehicles and arranges test drives and valuations.

  • Education

Explains programmes, requirements and intakes, and records interest per course.

Working with your team

The assistant does not replace your sales team — it takes the repetitive work off them and hands over prepared conversations.

  • Your team can step into any conversation at any moment.
  • Handover to a person is explicit and recorded.
  • The full history is available to whoever picks it up.
  • Conversations the assistant must not touch are flagged as such.

Security, permissions and control

An assistant that talks to your customers needs clear limits and complete traceability.

  • Scope defined in writing: permitted topics, and topics that always escalate.
  • No access to data it does not need in order to answer.
  • Searchable conversation records.
  • GDPR-compliant handling of contact data.
  • Can be switched off per channel without touching the rest of the system.

Frequently asked questions

  • Does the customer know they are talking to an assistant?

Yes. It identifies itself as an assistant from the first message and offers a handover to a person on request. That is a transparency requirement, and it also works better commercially.

  • What happens when it cannot answer something?

It does not improvise. It captures the enquiry, says it is passing it to the team, and routes the conversation to the right person with the context already summarised.

  • Does it work in more than one language?

Yes. It replies in the language it is written to, provided that language is covered in the initial configuration.

  • Does it integrate with the CRM we already use?

That depends on the CRM. We review its API during the architecture phase and, if there isn't one, we propose the most stable alternative before starting.

  • Can it message customers on its own initiative?

Only if it is explicitly configured to, for example in a scheduled follow-up. By default it responds; it does not initiate.
