System 05

The phone is still the channel that converts best

AI voice agents

It is also the worst covered. Calls come in while the team is busy, and follow-up calls get postponed until they stop making sense.

A precision acoustic module: a voice ring on a ceramic base, with a contained waveform that responds to sound.

The problem

A missed call leaves no trace and does not come back on its own.

  • Inbound calls are missed at peak times.
  • Confirming appointments one by one consumes hours of admin.
  • No-shows leave gaps that can no longer be filled.
  • Phone follow-up is abandoned after the second attempt.
  • There is no record of what was discussed on each call.

What NOVIQ installs

A voice agent with a tightly-scoped script, that knows when to hand the call to a person.

  • Scheduled outbound calls

Confirmations, reminders and follow-ups triggered automatically by each opportunity's status.

  • Inbound call handling

Resolves routine enquiries and captures the reason when a person is needed.

  • Appointment confirmation

Confirms, reschedules or cancels, updating the calendar and the CRM at the same moment.

  • Opportunity recovery

Picks up contacts left unclosed, with a script specific to each situation.

  • Handover to a person

Transfers the call when the caller asks, or when the case falls outside the script.

  • Recorded outcome

Every call leaves its outcome and summary on the contact's record.

How it works

Voice is the least forgiving channel, so the scope is kept tight.

  1. Define the case

One specific, bounded case — not 'handle everything'.

  2. Script and limits

What it says, what it does not, when it transfers and when it ends the call.

  3. Technical setup

Numbering, permitted hours, identification and recording.

  4. Internal testing

Tested with your own team before it calls a real customer.

  5. Gradual rollout

Starts at low volume and expands with the results.

Call types

Each with its own script.

  • Appointment confirmation
  • Advance reminder
  • Dormant opportunity recovery
  • Short post-service survey
  • Routine enquiry handling
  • Inbound call screening and qualification
  • Transfer to a person

A real example

Confirming the next day's appointments.

  1. Trigger

The system pulls tomorrow's appointments from the calendar.

  2. Call

The agent calls within permitted hours and identifies itself.

  3. Confirmation

The contact confirms, reschedules or cancels.

  4. Update

Calendar and CRM are updated immediately.

  5. Slot released

If cancelled, the slot becomes available for another appointment.

  6. No answer

If there is no answer, a message goes out on the alternative channel.

  7. Recorded

The outcome is stored on the contact's record.

Use cases

Where the volume of routine calls is high.

  • Clinics

Appointment confirmation and reminders to reduce no-shows.

  • Garages and automotive

    Vehicle-ready notifications and service reminders.

  • Real estate

Viewing confirmations and recovery of older enquiries.

  • Home services

    Time-slot confirmation and arrival notification.

  • Education

    Course-start reminders and enrolment follow-up.

Working with your team

The voice agent covers what is repetitive and predictable. The conversations that matter stay human.

  • Transfer to a person at any point in the call.
  • The caller can always ask to speak to someone.
  • Sensitive cases are explicitly excluded from the script.
  • The team sees each call's outcome without listening to the whole recording.

Consent, hours and traceability

Calling people is regulated, and the system is configured accordingly.

  • The agent identifies itself as an automated system at the start of the call.
  • Calling hours restricted to permitted windows.
  • Recording only with prior notice and a lawful basis, if enabled.
  • Do-not-call requests respected.
  • Every attempt logged, with outcome and date.

Frequently asked questions

  • Can people tell it is an automated system?

It identifies itself as one at the start, because that is both correct and required. Voice quality is high, but the goal is not to fool anyone — it is to resolve the admin quickly.

  • What if the person gets annoyed or asks for a human?

It transfers the call, or takes a callback request, depending on the configuration. It never presses.

  • Which languages can it call in?

Whichever are configured in the project. Spanish and English are typical; other languages are assessed case by case.

  • Does it replace our phone system?

Not necessarily. It can sit alongside it handling only certain flows, which is the lowest-risk way to introduce it.

How many hours a month go into admin calls?

We pick one specific case, automate it and measure it before expanding.
