System 06
Follow-up is where deals are won or lost
CRM and automated commercial follow-up
Almost no opportunity closes on first contact. It closes on the third or the fifth — and that is exactly where most teams stop pushing.
An industrial rail carrying modules through marked stages, from intake to close, with a return path into reactivation.
The problem
A CRM nobody updates is worse than no CRM: it gives a false sense of control.
- The real status of each opportunity lives in each salesperson's head.
- Follow-up depends on somebody remembering to call.
- Sent proposals are not chased when the client goes quiet.
- Lost opportunities are archived and never touched again.
- Management has no reliable view of what will actually close.
What NOVIQ installs
A pipeline whose stages reflect how you actually sell, and automations that push without replacing the salesperson.
Stages that match your process
From enquiry received to close, using the statuses your team genuinely uses.
Automated follow-up
Reminders and scheduled messages driven by stage and elapsed time.
Proposals and documents
Proposal generated with the details already populated, and the send date recorded.
Inactivity alerts
If an opportunity has sat still too long, the system flags it.
Reactivation
Opportunities that did not close return to the queue with a reason and a date, instead of disappearing.
Team visibility
Each person sees their own, management sees the whole — from the same data.
How it works
First put the sales process in order; then automate it.
Map the sales process
How you sell today, in how many steps, and with which documents.
Design the pipeline
Stages, advancement criteria, and what is expected at each one.
Automations
What fires automatically, when, and what always stays with the salesperson.
Data migration
Bringing in the contacts and opportunities that already exist.
Training and tuning
The team uses it, and it is adjusted against the first weeks.
Typical stages
The specific pipeline is designed with your sales team.
- Enquiry received
- Contacted
- Qualified

Fit, timescale and decision-maker are confirmed.

Sent, with a review date set.

Close
Won, lost or postponed — always with a reason.
Reactivation
Postponed and lost opportunities return to the queue in due course.
Use cases
Teams where follow-up makes the difference.
Real estate
Following enquiries over months, not days.
Construction and renovation
Tracking quotes sent and awaiting an answer.
B2B
Long cycles with several stakeholders and several proposals.
Professional services
Following enquiries that mature over time.
Automotive
Buyers who convert on the next campaign, not this one.
Working with your team
The system remembers, orders and prompts. Selling is still your team's job.
- Automations prompt the salesperson; they do not write in their name without permission.
- Each person keeps control of their own opportunities.
- Reports are about process, not surveillance.
- Stages are adjusted if the sales process changes.
Data, access and continuity
The CRM holds the most sensitive information in your business.
- Role-based access profiles.
- Change history on every opportunity.
- Export your data at any time.
- Backups according to the chosen platform.
- GDPR-compliant handling of personal data.
Frequently asked questions
Do we have to change CRM?
Not necessarily. If the one you use can integrate and supports the process, we work on it. We only propose changing when the current tool blocks what you need to do.
Will the team have to fill in more fields?
The aim is the opposite: most of the information should arrive on its own from the assistant, the forms and the calls, so the salesperson only adds what only they know.
Can WhatsApp follow-up be automated?
Yes, within the platform's rules and with consent. It combines with the assistants system.
What reporting do we get?
Process reporting: opportunities per stage, time in stage, advancement rate and loss reasons. Reports built on your real data, with no invented projections.
Connected systems
This system works on its own, but it does more connected to these:
← Back to systemsHow many sent proposals are waiting for an answer right now?
If you cannot answer that in ten seconds, the pipeline is not doing its job.
